PTO Committee Descriptions 2009-2010
Author in Residence: Age appropriate Authors attend Miami for a presentation to the students.  This person is
responsible for working with the school media clerk to promote the author and attending district meetings several times a
year.

Bagel/Apple Sale Day: Wednesday is Bagel Day at Miami!  The bagel cart goes from classroom to classroom
every Wednesday morning loaded with bagels and apples for students to purchase.  This person is responsible for
ordering bagels and recruiting and coordinating weekly volunteers with a sing-up sheet in the front lobby.

Bake Sale (Fall & Spring): This is a fund raiser that is held during the fall and spring conferences.  Miami
families donate baked goods to be sold. The committee helps to organize the start up of the sale, publicity, and
coordinating volunteers to work the sale.  

Bowling Bash: This is an annual event held in the winter for Miami Families, they are invited to come and bowl at a
specified location for a nominal fee.  Committee members are responsible for organizing the event, booking the date for
the event, making pre-sale ticket deposits as well as reporting to the PTO.

Box Tops for Education: Miami collects “Box Tops” as an on-going fund raiser throughout the year.  Box Tops
from General Mills are collected by Miami Families and sent in to school.  The box tops are counted and bundled and
then sent into General Mills and Miami receives a check.  The committee helps to organize the program, publicity,
collecting/counting/sorting box tops to mail in.

Campbell’s Soup Labels For Education:  Miami collects Campbell Soup labels as an on-going fund raiser
throughout the year.  This person is responsible for awareness and publicity of the program, correspondence with
Campbell’s and reporting progress and income to the PTO.  

Challenge Day/Field Day:  Parent Volunteers are needed to coordinate the distribution of Popsicles and Water
station for the students as well as help with each activity station.  Mr. McClorey will coordinate all other volunteers for
this event.

Chuck E. Cheese Fundraiser: This fundraiser takes little effort.  This person is responsible for arranging a date
with Chuck E. Cheese and advertising it to the school.  

McDonald’s Night: This fundraiser takes little effort.  This person is responsible for arranging a date with
McDonalds for every other month and advertising it to the school.  

Burger King Night: This fundraiser takes little effort.  This person is responsible for arranging a date with Burger
King for every other month and advertising it to the school.

Copy Cats: This service is something the parents provide to the teachers to help with copying that needs to be done
for the classroom, even if you only have an hour or two a week to help out.  There is a sing up calendar in the copy
room for you to write when you can make it or just stop in when you have time.  

Dad’s Club: Dads are in need for fall and spring clean ups around our school.  This committee will coordinate two
clean up days a year to help keep our school looking good.  

Family Fun Night: This is a major annual event that is held in the spring.   It is comparable to a “Spring Fair” and
includes concession, games, prizes, moonwalk, rock climbing, etc.  Wristbands for the children are sold at a nominal
fee.  Committee members are responsible for organizing the entire event, collecting pre-paid tickets and doing deposits
and recruiting and organizing volunteers.  The committee is responsible for booking the date for the event as well as
reporting to the PTO.

Fan-Out Committee: This person is responsible for setting up a “call-tree” of families that would like to be
informed of school cancellations due to inclement weather or other emergencies.  The “call-tree” is organized in
September but in effect for the entire school year.

Fifth Grade Field Trip/ Fifth Grade Promotion Ceremony/ Fifth Grade T-Shirts:
*
5th grade students are given a class t-shirt with each students name as a graduation keepsake.  A person is responsible
for ordering the shirts, contacting and working with the printer and distribution of the shirts.  
*An annual fun day field trip is provided every year for the 5th grade student.  In the past students have spent an
afternoon at the Sterling Inn Water Park in June and had sit down dinner in the banquet hall.  Committee members are
responsible for organizing the event.
*A promotion ceremony is provided for the 5th grade students during the month of June.  In the past there has been a
slide picture presentation as well as cake, decorations, and balloons.  Committee members are responsible for organizing
the event.  All Fifth grade parents are urged to help to make this night memorable for their children. This PTO run
committee will start its monthly meetings in February and follow the school’s guidelines for these events.  This
committee is responsible for reporting updates to the PTO.

Smart Moves Graduation: The Smart moves program promotes students to make responsible choices.  Upon
completion of the program, students are given a luncheon (usually pizza) to reward them for their efforts.  Committee
members are responsible for organizing a celebration luncheon during the last week of Smart Moves.  The committee is
responsible for ordering the food for the luncheon and helping to serve and clean up.  The committee is responsible for
contacting the school principal to arrange the luncheon.

Fun Run/Dolphin Dash: This major fundraiser is new to Miami and we had an awesome response last year.  We
would like to continue this fundraiser and require a few people to work closely with the principal and staff to coordinate
the date and times.  Further information will be given by the PTO to help run this event.

Holiday Sing-A-Long:  This is an annual event for Miami Families that is held one evening during the month of
December.  It’s a family evening of singing holiday carols and enjoying refreshments.  Committee members are
responsible for juice and cookie donations.

Santa Shop: During the month of December a “Santa Shop” is provided for Miami students to do their holiday
shopping.  Token items are for sale and the students are able to purchase them as Holiday gifts for friends and family
members.  Committee members are responsible for organizing the event and recruiting and coordinating volunteers.  
The Chairperson is responsible for booking the date for the event as well as contacting and coordinating meetings with
committee members and reporting to the PTO.

Dinner with Santa: Along with the Santa Shop, Miami provides a dinner with Santa Night for the whole family to
enjoy our Holiday Spirit.  You will work along with the committee for the Santa Shop to coordinate dates and times and
events.  You are to coordinate dinner, entertainment and pictures with Santa along with the Santa Shop shopping.

Entertainment Book Fundraiser: This fundraiser will take place in September and the committee is
responsible for the kick-off and the collection of orders, distribution of books, and distribution of prizes to top sellers.  
The committee is also responsible for the daily collection of order money and making a deposit for the PTO Treasurer.

Ice Cream Appreciation: An ice cream treat is given to Miami Students to show them appreciation for working
so hard throughout the school year (usually during the month of March).  Committee members are responsible for
organizing the event, booking the date for the event as well as recruiting and coordinating volunteers for this event.

Kindergarten Orientation / Round-Up: During the Spring an orientation is held for the parents of the in-
coming Kindergarten class, refreshments are served.  The committee is responsible for serving cookies and punch as a
welcome to the new families.  

Lucky Number Night / Basket Fundraiser: During the Spring, an annual bingo night is held for Miami
Families.  This is a very fun event and very family oriented with games of bingo and snack concessions.  There is also a
gift basket raffle, items for the baskets are donated by Miami Families and Staff and the baskets are raffled off for
profit.  The committee helps to organize the event, publicity, collection of donated basket items, collection of pre-paid
tickets and deposits and recruiting and coordinating volunteers.  The Chairperson is responsible for booking the date for
the event as well as contacting and coordinating meetings with committee members and reporting to the PTO.

Market Day: This service is provided to Miami Families and requires a monthly commitment.  You are responsible
for collecting orders and receiving shipments each month.  You can post a volunteer sign up sheet on the main bulletin
board in the main lobby for each month’s volunteers.

Movie Night: This event is new to Miami and we would like to continue this free event for Miami families.  This
committee is responsible for picking appropriate movies, getting them approved by the principal and scheduling the
date.  They are also responsible for the selling of pop, popcorn and candy and making the deposit at the end of the
night.  The committee can post for new volunteers for each event.

Picture Days: Life Touch visits Miami twice a year to take student portraits.  Volunteers are needed to assist the
photographers.  Volunteers are needed to stay at school the entire day.  The PTO is responsible for contacting and
coordinating volunteers.  Four volunteers are needed for the fall picture day and 4 volunteers are needed for the spring
picture day.  Since volunteers are limited, please choose either the fall or spring picture day to work.  

Pizza Kit Fundraiser: This committee is responsible for setting a kick-off date, distribution and collection of all
orders and daily deposits.

Roller Skating Party: Two roller skating parties are held every year for Miami Families, during the fall and
spring.  Committee members are responsible for organizing the event, making pre-sale ticket deposits and booking the
date for the next event as well as reporting to the PTO.  

Room Parent Coordinator: Every classroom has room parents and the job of the room parent coordinator is to
be in contact with the school principal and contact all room parents to inform them of the times/dates of holiday
celebrations as well as any special requests from the staff.

School Store: The school store is run by volunteers and sells school supplies and fun items for students.  The
committee is responsible for recruiting volunteers with a weekly sign-up sheet in the lobby, ordering merchandise, and
taking inventory of stock.

Spooktacular: This fun filled event was new to Miami last Halloween and was a huge hit.  We would like to
continue by having one again this year. You would be responsible for coordinating the date, food, and entertainment for
this event.  A Halloween party with trick-or-treating, face painting, a haunted house and music to dance to is a great
way to spend a Friday evening!

Staff Fall Brunch/Staff Spring Appreciation Luncheon: A brunch/lunch is provided for the teachers
during Fall and Spring conferences.  You are to organizing the event, order the food and clean up.  You are responsible
for booking the date for the event as well as reporting to the PTO.

Sunshine Committee: A card and/or gift is given to Miami staff and families that have experienced illness or loss,
births, special occasions, etc. This committee of one is responsible for sending out cards/flowers/gifts throughout the
year to those recipients.  This person will be notified by the PTO of any such events.

Year Book Committee:  This committee is responsible for being present to take pictures at all school events as
well as candid shots of students throughout the year.  They are also to coordinate page layouts in the yearbook.  The
chairperson is responsible for contacting Life Touch to find out due dates of the lay outs and requirements. A Miami
Picture Account has been set up at Shutterfly.com for the entire school to share and donate their pictures to the
yearbook committee.
